When Zapier isn't enough

Zapier is a twenty-odd-pounds-a-month tool that connects one cloud app to another without a developer. For a lot of small-firm problems it is the right answer, and it's the first thing we check. It stops being the right answer at four specific walls.

Where Zapier earns its keep

One-way, event-driven jobs between two cloud apps in its catalogue. A website enquiry lands in your inbox and your CRM. A paid invoice in Xero posts a note to the sales channel. Somebody books a call and it appears in three calendars. Switch it on, pay the subscription, keep your money. If that's your whole problem, you don't need us and this is the paragraph that saves you a phone call.

The four walls

Two-way sync. Zapier pushes events in one direction. The moment both systems can change the same record (a customer edited in the CRM and in the accounts package) you need rules about which side wins, duplicate matching, and a way to repair a bad merge. That's not a zap; that's a small system.

Errors. A zap that fails at two in the morning fails quietly. If the data it dropped was a meeting note, fine. If it was an invoice, someone finds out at month end. Automation that moves money needs logging, retries and an alert a human actually reads, and that's exactly the part the per-task tools leave out.

Volume. Per-task pricing is friendly at fifty tasks a month and unfriendly at fifty thousand. Firms that start syncing order lines rather than orders discover this on the first invoice.

Desktop software. Zapier can only reach systems with a cloud API. Sage 50 lives on your PC or your server, and so does a lot of the software that actually runs British workshops. Getting data out of Sage 50 takes a different route entirely.

What the next step looks like

A small built connection: it runs on a schedule or listens for events, keeps a log you can read, retries sensibly, alerts someone when it's stuck, and handles the awkward mapping (your cost codes, your customer matching) that no generic tool can guess.
